Booking Conditions

Please read these booking conditions carefully. They form the basis of your contract with Off The Grid Travel Ltd and set out the terms on which we arrange your holiday. By making a booking, you agree to be bound by these conditions. These conditions are governed by English law and comply with The Package Travel and Linked Travel Arrangements Regulations 2018.

1. About Us and Your Contract

Your booking is made with Off The Grid Travel Ltd (referred to throughout as "we", "us" or "Off The Grid Travel"). We are a member of The Travel Trust Association (TTA), membership number TTC. Your contract with us is subject to these booking conditions, which are governed by English law. Any dispute arising from your booking will be dealt with under English law in the courts of England and Wales.

Off The Grid Travel Ltd is registered in England and Wales. Registered office: Suite RA01, 195-197 Wood Street, London, E17 3NU. Company number: 17151449.

2. Making a Booking

To confirm a booking, the lead passenger (who must be at least 18 years of age) must complete our booking form and pay the required deposit. By submitting a booking, the lead passenger confirms that they have the authority to agree to these conditions on behalf of all members of the travelling party, and that all party members have read and accepted these conditions.

A booking is only confirmed once we have received your deposit and issued a written booking confirmation. Please check your confirmation carefully and contact us immediately if any details are incorrect.

3. Pricing and Payment

All prices are quoted in pounds sterling (GBP) and include applicable taxes unless otherwise stated. A non-refundable deposit of 25% of the total holiday cost is required at the time of booking. The remaining balance must be paid no later than 12 weeks (84 days) before your departure date.

If you book within 12 weeks of your departure date, the full cost of the holiday is payable at the time of booking.

If full payment is not received by the due date, we reserve the right to treat your booking as cancelled, in which case the cancellation charges set out in clause 6 will apply.

We reserve the right to correct pricing errors at any time before your booking is confirmed. If a pricing error is identified after confirmation, we will notify you as soon as possible and offer you the choice of proceeding at the correct price or cancelling with a full refund.

4. Price Changes After Booking

We may revise the price of your confirmed holiday to reflect changes in:

  • Transportation costs, including fuel surcharges
  • Taxes, fees or charges imposed by third parties, including government taxes and airport charges
  • Exchange rates applicable to the holiday

We will absorb any increase equivalent to 2% of the holiday price. Any increase above this will be passed on to you. If the price increase exceeds 8% of the total holiday cost, you will have the right to cancel with a full refund. We will give you at least 20 days' notice of any such increase. Price decreases of more than 2% will be passed on to you, less our administration costs. No price changes will be made within 20 days of your departure.

5. Changes by You

If you wish to make a change to your confirmed booking, we will endeavour to accommodate your request. Amendment requests must be made in writing by the lead passenger. Where we are able to make the change, an amendment fee of £50 per person per change will apply, in addition to any costs imposed by our suppliers.

Certain changes, such as a change of destination or departure date, may be treated as a cancellation of the original booking and a new booking, in which case the cancellation charges in clause 6 will apply.

If you wish to transfer your booking to another person, both the original and new lead passenger must agree to this in writing. A transfer fee of £75 per person will apply. Transfers cannot be made within 14 days of departure.

6. Cancellation by You

If you wish to cancel your booking, the lead passenger must notify us in writing. The date of cancellation will be the date on which we receive your written notification. The following cancellation charges will apply, calculated as a percentage of the total holiday cost:

We strongly recommend that you take out comprehensive travel insurance at the time of booking that includes cover for cancellation.

7. Changes and Cancellation by Us

We plan holidays well in advance and occasionally changes are necessary. Most changes are minor (such as a change of flight time or accommodation of equivalent standard), and we will notify you as soon as possible. No compensation is payable for minor changes.

If we need to make a significant change to your holiday before departure, we will notify you as soon as possible and offer you the following options:

  • Accept the changed arrangements
  • Transfer to an alternative holiday of equivalent or higher quality, if available
  • Cancel your booking and receive a full refund of all monies paid

In exceptional circumstances we may need to cancel your holiday. If we cancel, we will offer you the choices above and will pay compensation as follows, except where the cancellation is due to force majeure (clause 9) or failure to meet the minimum number of travellers required:

8. Our Liability to You

We accept responsibility for ensuring your holiday is as described and provided with reasonable skill and care. We will not be responsible for any injury, illness, death, loss, damage, expense or cost where:

  • The cause was your act or omission
  • The cause was the act or omission of a third party unconnected with the provision of your holiday, which was unforeseeable or unavoidable
  • The cause was an unusual and unforeseeable event which neither we nor our suppliers could have anticipated or avoided
  • The cause was force majeure as defined in clause 9

Our liability for death, personal injury or illness caused by the negligence of ourselves or our suppliers is not limited. Our liability in all other cases is limited to three times the price paid for the holiday per person affected.

9. Force Majeure

We will not be liable or pay compensation where any failure or change to your holiday arrangements is caused by unusual or unforeseeable circumstances beyond our control. These include, but are not limited to: war or threat of war, civil unrest, industrial dispute, terrorist activity, natural or nuclear disaster, fire, flood, severe weather, epidemic or pandemic, government action, or closure of airports or ports.

10. Travel Insurance

We consider comprehensive travel insurance to be essential for all customers. Your policy should cover at a minimum: cancellation, curtailment, medical expenses, repatriation, personal liability and loss of baggage. We strongly recommend you arrange travel insurance at the time of booking.

We are not responsible for any costs incurred as a result of you failing to arrange adequate travel insurance.

11. Passport, Visa and Health Requirements

It is your responsibility to ensure that you and all members of your party hold valid travel documents and comply with all entry requirements for your destination. This includes passports, visas, and any health or vaccination requirements.

We are not liable for any costs, losses or expenses incurred as a result of failure to comply with these requirements. We recommend you check with the relevant embassy or consulate and the Foreign, Commonwealth and Development Office (FCDO) before travel.

12. Special Requests and Medical Conditions

If you have any special requests (such as dietary requirements, room preferences or accessibility needs), please inform us at the time of booking. We will pass your request to the relevant supplier but cannot guarantee it will be met. Special requests do not form part of your contract with us.

If you or any member of your party has a medical condition or disability that may affect your holiday, please inform us before making your booking so that we can advise on suitability and make any reasonable arrangements.

13. Your Behaviour

We expect all customers to behave in a manner that does not cause distress, danger or offence to other guests, our staff or the suppliers of services. If you or any member of your party causes damage or behaves in a way that is likely to cause distress, danger or offence, the relevant supplier or ourselves may terminate your holiday arrangements. In such circumstances we will have no further obligation to you and will not be liable for any costs incurred as a result.

14. Financial Protection

Off The Grid Travel is a member of the Travel Trust Association (TTA). All customer monies are held in a protected Trust Account, meaning your money is safe in the event of our financial failure. You will be issued with a TTA booking receipt confirming your financial protection upon payment of your deposit.

Your statutory rights are not affected by these booking conditions.

15. Complaints

If you experience a problem during your holiday, you must report it immediately to the relevant supplier and to us at the earliest opportunity so that we have the chance to resolve it. If you remain dissatisfied, please submit a written complaint to us within 28 days of your return date.

If your complaint cannot be resolved between us, as a TTA member we offer access to an independent dispute resolution scheme. Details are available from the TTA at www.traveltrust.co.uk.

16. Data Protection

To process your booking we need to collect personal information about you and your travelling party. We will handle your personal data in accordance with our Privacy Policy, available on our website at www.offthegridtravel.co.uk. We may need to pass your personal data to suppliers involved in your holiday and, where required, to government authorities.

By making a booking, you consent to the collection and use of your personal data as described in our Privacy Policy.

17. Applicable Law

These booking conditions and any contract between us are governed by English law. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales. The Package Travel and Linked Travel Arrangements Regulations 2018 apply to packages sold by Off The Grid Travel.
